Reporting

Throughout the collection, data mining, and production stages it is critical for lawyers to understand what is happening with the documents and keep track of the entire process. We understand this need and provide reports throughout the process memorializing the steps taken and results of each procedure. This is invaluable later in a case when memories fail and an understanding of certain documents or steps taken needs to be explained.

Our reporting also lets you easily explain to the client what was collected, reviewed, filtered, and produced. These metrics can also serve as benchmarks for future discoveries and allows tracking of specific documents in the current discovery. Our data mining reports will show you the connections between documents, people, and projects within a company and help identify key witnesses.

Too many electronic discovery companies today hide behind a screen and take the “black box” approach of documents received and documents produced without attorneys understanding what has happened in the process. This is extremely dangerous as documents may be filtered or removed due to discovery systems skipping them because they cannot be properly recognized. These documents could be very important. Without proper reporting that lets you know that these documents have been skipped or handled in a certain way, you would never know they existed, or would simply just assume that they were properly produced. Don’t make this potentially costly mistake. Demand detailed reporting on your production if you use another vendor. If you use Discovery Specialists as your electronic discovery vendor, there is no need to demand it – you will get it automatically.

Reports we produce automatically for each job:

Production Job Key Metrics – provides salient characteristics of each production job including breakdowns by file type, number of pages and documents in each type, number of irrelevant/filtered documents, and other metrics that help attorneys understand the volume of material that needs to be reviewed. This information is often helpful for better planning and resource allocation for the attorney review process.

Chain of Custody – detailed and accurate information containing full chain of custody is tracked and maintained on the regular basis. Our clients have full access to this report at any time during the processing job through our web-based interface.

Cost Analysis – the cost analysis report provides a breakdown by various types of services that were performed on the overall data set (e.g. number of files/pages converted to TIFF, number of documents OCRed, number of documents which required machine translation broken out by language). Our clients find this report helpful for both better understanding the job at hand as well as to help them more accurately predict costs for future jobs.

Exception Report – Any files that were not processed (usually due to password protection, file corruption, encryption, binary/non- printable files or unknown file type) are logged in our Exception Report. Typically, you will have several choices for resolving issues with these un-processed files. We can perform manual conversion, unlock passwords, request replacement data for corrupt files.
